Executive Assistant


 

Location: Southern California, San Diego area REQUIRED, (remote)

Reports To: Chief Executive Officer

Job Description:

The Executive Assistant, under the general direction of the Chief Executive Officer, provides a variety of administrative services and will be essential to driving the effectiveness of the company. This individual must be detail oriented and an experienced planner with the demonstrated ability to communicate and respond effectively and efficiently while maintaining flexibility, and most importantly, grace under pressure while working in a fast-paced, goal-focused work environment. This role requires that you have integrity, initiative, resourcefulness, and the abilities to handle confidential material while collaborating with internal and external parties on behalf of the Chief Executive officer.

Duties and Responsibilities:

  • Composes, coordinates, and prepares a variety of communication pieces including, but not limited to, correspondence, reports, internal documents, email, and presentations.
  • Attend all general and Board meetings serving as the point of contact for executive initiatives, keeping all records and meeting minutes.
  • Records and distributes minutes or other records for meetings.
  • Schedule meetings, maintain calendars, and travel arrangements, as necessary.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Maintains company asset management control to include IT equipment.
  • Responds to and resolves administrative inquiries and questions.
  • Provide other high-level administrative support and assistance as needed.

Experience in:

  • Proficient with Microsoft Office Suite
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

Requirements:

  • Associates degree required, Bachelor's degree in related field preferred.
  • Minimum 4 years of related experience, required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Ability to work closely with executives and employees at all levels
  • Excellent attention to detail
